How to use AI to plan a week you can actually follow
Turn a crowded list into a realistic schedule with limits, buffer time and one prompt you can adapt.

AI can arrange tasks quickly, but it does not know your energy, commute or how often plans change unless you tell it. Use it to draft a schedule, then edit the schedule yourself. OpenAI Academy's everyday-task example uses the same approach: turn a busy idea into a short checklist organized by day, then verify important details.
Start with constraints, not a giant task dump
List the fixed commitments first: work hours, appointments, travel, care responsibilities and deadlines. Estimate the time each flexible task really takes. Include meal breaks and at least one buffer block. Leave out private names, addresses and sensitive details that the AI does not need; a neutral description such as “medical appointment” is enough to reserve time.

Help me plan Monday to Sunday. Fixed commitments: [days and times]. Flexible tasks: [task, estimated duration, deadline]. I can do focused work for [number] hours a day. Leave [number] minutes between commitments and one open block for surprises. Put the three most important tasks first. Return a day-by-day plan, then list anything that does not fit. Do not invent available time.
The last sentence matters. A useful plan should show overload, not hide it. If the response silently squeezes eight hours of work into four, ask it to show its time arithmetic and cut or defer tasks. OpenAI's prompt guidance recommends clear instructions, enough context and iterative revision.
Review the draft in two passes
First, check facts: dates, time zones, travel time, opening hours and deadlines against your calendar or official source. Second, check your life: which day is already tiring, what can move, and where you need rest. Move the plan into the calendar or checklist you actually use. Replan once midweek instead of rebuilding it each morning.
